Overview
User Metadata Tags are used to organize data related to user accounts. They will show up on each users' profile. If you want them to appear next to each users' name on Grow reports, you can make this adjustment in System Settings.
When creating User Metadata Tags, it can be helpful to consider, “What are all the things I might want to know about a user?” or “What would I want to use as a filter when looking at user data?”
What's included in this article:
User Types
In addition to appearing next to users' names on reports, User Types will appear in the "Filters & Options" for many reports. For example, you will see User Types as a filter for all Score Performance Reports. Leverage this tag for the data point that you'd most like to use to organize reporting.
You can view the different types of User Types by going to Config > Metadata and clicking on to the User Types link.
The listed User Types will vary by site. You can create new User Types from this screen individually or in bulk through “Import User Type.”
User Types can be applied to specific users on the Edit User page (Config > Users > Select the user you want to edit). In the User Type dropdown, you will see all created users for your school.
Alternatively, User Types can be quickly updated by toggling on “Edit Mode” on the Users page and making changes down the list.
As a third option, when importing users, you can bulk import User Types by including a column on the import .csv.
User Tags
If you want to see more granular information about users, the User Tags feature can be helpful. Some example User Tags:
- '22-'23 ratings - To tag and track teachers with varying performance levels on last year’s ratings
- Job Titles - To tag and track different types of jobs across your campus (ie. Classroom teacher, Support Teacher, Specials Teacher, etc.)
How to create and rename User Tags
To create User Tags, select the User Tag slot you want to update under “User Metadata.”
Click “Import User Tags” or “Create User Tag” to either bulk add or individually add User Tags. In the example below, we are bulk adding a list of User Tags.
After importing or adding, you will notice that the category title of these User Tags has not updated.
To change the category title, go to Config > System Settings and select “Language Changes.”
Note: You may need a higher level user permissions to access the "Language Change" feature if it is not visible on the System Settings page.
Search for the User Tag slot you updated and change the name accordingly.
Now, when we return to User Metadata (Config > Metadata), we can see our new User Tag.
How do I apply User Tags?
If your school or district has not configured Report Settings to show User Tags on the Users page, you will need to configure that within Report Settings.
Go to Config > System Settings and select “Reports: Report Settings.” You will see “What fields should be displayed from the start on dashboard tables with users?” If you want Grow users to always see User Types, select User Type here.
Under “What fields should be displayed under extended info on dashboard tables with users?” Remove the general “User Type” info field and add the specific User Types you wish to display.
Now, when you view a dashboard, you will see a column with User Types and the relevant tag information.
How is the User Tag frequently used?
Once you’ve set up your User Tags, Grow users frequently use tags in the Form Report and Frequency Report.
For this example, using “Job Titles” as our new User Tag, we can now hone in on a specific job title to quickly see information about a relevant group in Form Report.
On the Frequency Dashboard, you can quickly view information for specific groups of people. For example, when viewing User Tags for “1st Year Teachers,” you can quickly see how many observations 1st Year Teachers are receiving.
