Default Form Setup

Learn about Default Form Setup settings in SchoolMint Grow. 

Please note: This article is primarily for System Admin. 

Default Form Setup allows a System Admin to determine which widgets should appear by default and which form settings should be toggled ON/OFF by default. To access the Default Form Setup page, navigate to Config > Forms and select "Default Form Setup" in the upper right-hand corner. 

On the first page of Default Form Setup, a System Admin can drag and drop widgets that should appear on an Observation Form by default. Widgets can still be added, removed, or rearranged when building an individual form.

On the second page of Default Form Setup, a System Admin can toggle default form settings ON/OFF. If a user makes changes to an individual form's settings, those changes will override the default settings. 

Form Setting Overview

General Settings

1. Lock editing ability after how long: Users can select any number of days within a year, 1 year, 2 years, or Never. After X amount of days, the form will become uneditable. 
2. Feature - Peer Observation Form: If turned on, this feature becomes available to peer observers. Make sure that Peer Observations are enabled in System Settings and that the form is visible to the right users. Learn more about Peer Observations here. 
3. Feature - Video form: If turned on, this feature will appear as a choice when creating an observation from a video in the Video Hub. Make sure that the videos widget is added to the form. 
4. Feature - Allow Co-Teacher Observations: If toggled on, this will add a button to the top of an Observation Form to add a co-teacher to the observation.

5. Feature - Allow Cloning: If turned on, allows the observer to create a copy of the completed observation. 

6. Feature - Enable Click-to-Fill: If turned on, allows the observer to click a bulleted item from the row description and automatically place it in the first text box for the row. Learn more about this feature here. 

7. Action Steps - Action Step is part of finalized workflow: If the 'Ready for Action Step' category is turned on in System Settings, this determines whether this particular form requires an action step to be considered entirely complete.

8. Action Items - Allow creation of action items: If an action item widget is added to the form, allows the creation of action items while completing the observation. If OFF, action items can be viewed but not created. 

9. Draft Observation - Allow users to "take over" this observation: If this is enabled, users with the ability to take over observations (typically School Assistant Admins and above) who have access to the observee will be able to switch the creator of the observation to be themselves and take over working on the draft.

10. Draft Observation - Show completion marks on strands while in draft mode: Show a green checkmark on strands where all rows are complete.

11. Measurements - Show individual score descriptions in dropdown: Shows individual score descriptions (if those have been added to measurements) in the regular measurement description dropdown.

12. Measurements - Show individual score descriptions directly on measurement options: Shows individual score descriptions (if those have been added to measurements) directly on each score on the form

13. Measurements - Show numbers on measurement options: Shows numerical scores associated with each measurement option on the form. 

14. Measurements - Show labels on measurement options: Shows labels associated with each measurement option on the form. 

15. Signature - Allow observer to require a signature on completed observation: Shows a 'Signature Required' checkbox on the form that the observer can toggle to require a signature from the observee. 

16. Signature - Signature required by default: Toggles the 'Signature Required' checkbox to ON by default

17. Signature - Display name and signature on two lines on finalized form: When turned on, the finalized and print views of this form will show two separate lines for name and signature after the observee has signed. 

18. Signature - Send notification to observer when signed: When turned on, sends an email to the observer once the observee has signed the observation. 

19. Finalize Popup - Show Observation Type: Shows Observation Type picker and any relevant scheduled items on the "Finalize" popup for this form 

20. Finalize Popup - Allow observer to send notifications to observee upon completing observation: When turned on, observers will be able to choose between simply finalizing the observation or finalizing and sending an email to the teacher on the 'Finalize' popup. 

21. Finalize Popup - Include emailed note option on Finalize popup (Requires above setting enabled)

22. Resources: Allows linking of various resources that will appear both on the draft and finalized form.

Scoring and Privacy Settings

23. Private Form: When turned on, observations done on this form are completely hidden from observees. 

24. Do not show any numeric scores to observee: When turned on, scores will be hidden from observees. Other components of the form will still be visible. 

25. Require ALL rows: When turned on, does not allow forms to be published without all fields completed.

26. Don't Require Textboxes On Scored Rows: When turned on, required rows with both a text box and a scored field will only need the scored field to be completed. Adjust individual row requirements in the Form Builder. 

27. Display average score on draft observations: When turned on, displays the average score on draft observations after each save. 

28. Display strand averages on observations: When turned on, displays strand averages on draft and finalized observations.

29. Do not show empty rows on finalized observations: When turned on, empty rows will be hidden on the finalized observation. 

30. Do not show overall score on finalized observations: When turned on, the observation score will not be shown on the finalized observation. 

31. Do not show empty text rows on finalized observations: When turned on, empty text rows will be hidden on the finalized observation. 

Menu Settings

32. Hide on menus: When toggled ON, the form will not appear on any dropdown where new observations are created

33. Hide from schools: This form will be hidden from all observers at selected schools

34. Hide from roles: This form will be hidden from observers from all selected roles

Metadata Settings 

35. Exclude these meeting types when scheduling related meetings

36. Show Observation Type: If ON, Observation Type will be shown under default info. 

37. Require Observation Type: When ON, does not allow for observation to be finalized until Observation Type is selected. 

38. Exclude specific Observation Types: Selected Observation Types will not be available as options when completing this form

39. Default Observation Type: Sets the default Observation Type for observations completed on this form. Observers can select other types from the allowable list if needed.
