Learn how users with form building permissions can edit the settings and configuration of existing forms.
Please note: this article is primarily for users with a sub-admin role and above.
Edit Form Settings
In order edit an existing form, click Config then Forms.
To edit the form's settings, click the wheel icon next to the form you'd like to update. Settings will not retroactively apply to finalized observations on that form. Edited settings will apply to any future observations.
Below are commonly used General Settings:
- Enable Click-to-Fill: Allows observers to click on the bullets in row help text, and have the information autofill into the associated text box.
- Show numbers on measurement options: Allows users to hide the numbers on the observation without removing the associated labels. This is helpful when observees should not see scored indicators, while still allowing observers to collect quantitive report data.
- Signature - Allow observer to require signature on completed observation: Enable a toggle on draft observations that allows the observer to require a signature from their observee. Once the observation is finalized, the observee will see a Sign Observation button on the top right corner of the observation.
Below are commonly used Scoring and Privacy Settings:
- Private Form: Observations done on this form will be completely hidden from the observee.
- Do not show any numeric scores: Overall form scores will be hidden from observees. A best practice is to then disable Show numbers on measurement options.
Menu Settings
- All of the ‘hide’ settings under Menu Settings, refer to preventing the ability to start submissions. Folks will still be able to see observations submitted on this form. Many forms should be hidden from the teacher role since they usually don’t need to complete these forms.
Metadata Settings
- All of the settings found in Metadata Settings all come from the ‘Observations’ section of the Metadata page (under Config).
- Once configured, they will appear as options in the Observation Details section of all observations. These are great for tracking data points you need across many submissions (ex: 'Length of Observation').
Edit Form Configuration
In order edit an existing form's configuration, click Config > Forms and then the edit icon next to the form.
Form Setup
This section covers which pieces of published forms can be edited. Any edits made to published forms will retroactively apply to all finalized observations on that form. As you will see, certain toggles and settings are un-clickable once the form is published. In order to edit all aspects of a published form, users will need to click the purple clone icon on the list of forms. We recommend naming the original copy and hiding it from menus to ensure observers can only access the updated form.
Under Form Details, users can edit the Form Name which will apply to any previously finalized observations. Users will not be able to change whether or not the form is score-based, or how the score is calculated.
Under Strand Setup, users can add qualitative strands (i.e. unweighted strands), edit strand names and details, and edit certain aspects of included rows. Any row edits will apply to previously finalized observations. Users can edit:
- Included Rows: Users cannot remove included rows, but can add new or existing qualitative rows. The Exclude? setting is auto-enabled on added rows and cannot be disabled.
- Order of Rows: Click and drag on the three horizontal bars to the left of any row to change its placement within the strand.
- Row Language: The row name, description, and any associated labels (ex: textbox label, scoring labels, or drop-down labels).
- Row Options: Whether or not the row is Required and/or Private.
Form Layout
Edits on this page will determine how the form appears to the observer. The widgets found under Observation Form populate the left and main panel of your form and have a purple Edit button. Widget names and descriptions can be edited at any time. Users can drag and drop widgets between these three sections interchangeably.
Form Preview
This page shows what a draft observation on this form will look like for users. Content cannot be edited on this preview. You can always click Back to return to Form Setup and Form Layout to continue editing. Finally, click Save & Exit to return to the list of forms.
